Every membership organisation does this work. Very little membership software acknowledges it. The result is familiar: a shared mailbox, a spreadsheet of who is chasing what, and a member record that says nothing about the eight weeks your team spent helping that member.

A case has an owner, a status, a clock and an outcome. It sits where the member lives, so the officer processing a renewal can see there is an open matter without knowing whose inbox it is in.

What counts as a case?
Anything raised by or about a member that has to be worked and closed: a workplace issue, a complaint, an ethics or conduct matter, a membership dispute, an application under review, a request for assistance. If it needs an owner, a history and an outcome, it is a case.
How is this different from a shared inbox?
An inbox holds messages; a case holds the matter. Cases have an owner, a status, a history and an outcome, and they sit on the member record rather than in one person's mailbox. When the person who handled it leaves, the case stays.
Who can see cases?
Only the people your roles allow. Case visibility is governed by role-based access control like every other part of the platform, and sensitive matters can be restricted to the team handling them while the rest of the member record stays open to the office.
Does a case show on the member record?
Yes, and that is the point. The officer looking at a renewal can see there is an open matter without needing to know which colleague is handling it or which inbox it lives in.
Can we report on cases?
Yes: what is open, what is ageing, what closed and how, by type, by owner and by part of the organisation. Boards ask how member issues are being handled, and the answer should not be assembled by hand.
